Privacy Policy

WOX LLC, which operates Screenata (“Screenata,” “we,” “us,” or “our”), provides a compliance evidence automation platform for SOC 2, HIPAA, ISO 27001, and related frameworks. This Privacy Policy describes how we handle personal information collected through screenata.com, our product, our browser extensions and desktop applications, and our marketing activities (together, the “Service”).
State privacy rights. If you are a resident of California, Colorado, Connecticut, Virginia, Texas, or another U.S. state with a comprehensive privacy law, see State privacy rights notice below.
Notice to European users. If you are in the United Kingdom or the European Economic Area, see Notice to European users below for our legal bases, your rights, and how we handle transfers out of Europe.
1.Two kinds of data, two different roles
This distinction determines which rights apply to you, so we state it up front rather than leaving it implied.
Data we control
Information about visitors to screenata.com, people who fill in our forms, book meetings, subscribe to our updates, or administer a Screenata account. For this information we are the controller — we decide why and how it is processed — and this Privacy Policy governs it in full.
Data our customers control
Evidence, screenshots, documents, policies, personnel records, and other content that a customer uploads to or generates within the Screenata platform (“Customer Data”). For Customer Data we act as a processor on the customer’s instructions. Our handling of it is governed by our agreement with that customer and by our Data Processing Addendum, not by this Privacy Policy. If you are an employee or contractor of a Screenata customer and want to exercise rights over your own data, contact your employer — we will refer your request to them.
2.Personal information we collect
Information you provide to us
- Contact data. Your name, work email address, company name, job title, and phone number, including when you request a demo, book a meeting, or contact support.
- Account data. The username, password, and profile details you set when establishing a Screenata account, along with your role and permissions within your organization’s workspace.
- Assessment and tool data. Answers you enter into our free tools, such as the SOC 2 readiness assessment, together with the name, email, and company you supply to receive the resulting report.
- Communications data. The content of your exchanges with us by email, support form, chat, or scheduled call, and the metadata that accompanies them.
- Billing data. For paid plans, the billing contact and payment details needed to complete a transaction. Card details are collected and processed by our payment processor; we do not store full card numbers.
- Marketing data. Your preferences for receiving communications from us and your engagement with them.
Information we collect automatically
- Device data. Browser type and version, operating system, screen resolution, device type, language settings, IP address, and approximate location derived from it (city or region level, not precise geolocation).
- Online activity data. Pages viewed, time spent, referring site, navigation paths, access times, and whether you opened our emails or clicked links in them.

Information from third-party sources
We may combine what you give us with information from business data providers, public sources such as company registries and professional networks, our partners and event co-sponsors, and parties involved in a prospective corporate transaction.
Information we ask you not to send
Please do not send us government-issued identification numbers, financial account numbers, health information, biometric or genetic data, or information revealing racial or ethnic origin, political opinions, religious beliefs, or trade union membership, except where the Service specifically asks for it. If you submit sensitive personal information to us anyway, you consent to our processing it as described here.
3.Artificial intelligence and your content
Screenata uses AI to draft evidence descriptions, analyze screenshots, answer security questionnaires, and power in-product chat. Because our customers are security and compliance teams, we would rather be specific than reassuring.
What is sent to model providers
When you use an AI-powered feature, the content you submit to that feature — including chat messages, prompts, and the evidence, screenshots, and documents the feature needs in order to respond — is transmitted to third-party model providers that we engage as subprocessors, for the sole purpose of generating a response back to you. Those providers are OpenAI, Anthropic, Fireworks AI, and Google (Gemini), and they are named in full, alongside every other subprocessor, in Annex 2 of our Data Processing Addendum.
What those providers may not do with it
We contractually prohibit our model providers from using your content, or any Customer Data, to train or improve their generalized AI models. We do not sell your content, and we do not use Customer Data to train our own models.
Aggregated and de-identified data
We may create aggregated, de-identified, or anonymized data from information we hold, by removing what makes it identifiable to you or your organization, and we will not attempt to re-identify it. We may use and share that data for lawful business purposes such as analyzing and improving the Service and reporting on industry benchmarks.
Automated decision-making
We do not use your personal information to make automated decisions that produce legal or similarly significant effects about you. Screenata produces drafts, findings, and recommendations; a person on your team reviews and approves them.
4.How we use your personal information
- Service delivery and operations. To provide the Service, establish and maintain your account, enable security features, process transactions, and send service-related announcements, security alerts, and support messages.
- Service improvement and analytics. To understand how the Service is used, which pages are visited, and how we can improve it, and to develop new features. See our Cookie Notice for the analytics tools involved.
- Marketing. To send you communications about Screenata, tailored to your role and interests. You can opt out at any time; see Your choices.
- Compliance and protection. To comply with applicable laws and lawful requests, respond to legal process, protect our rights and those of others, audit our own compliance, enforce our Terms of Service, and detect and deter fraud, abuse, and security incidents.
We do not use your personal information for interest-based advertising, and we do not share it with third-party advertising networks for that purpose.
6.Retention
We retain personal information for as long as needed to fulfill the purposes for which we collected it, including satisfying legal, accounting, and reporting requirements, establishing or defending legal claims, and preventing fraud. In deciding how long that is, we weigh the amount, nature, and sensitivity of the information, the potential harm from unauthorized use or disclosure, whether we can achieve the purpose another way, and what the law requires.
Customer Data is retained for the term of the customer’s subscription and deleted or returned afterwards in accordance with the Data Processing Addendum. When we no longer need personal information, we delete or anonymize it — or, where that is not immediately possible because it sits in backup archives, we isolate it from further processing until deletion is possible.
7.Your choices
- Access and update. You can review and update your account information by signing in to Screenata.
- Export. You can export your content and evidence packages using the Service’s export features.
- Delete your account. Contact us and we will delete your account and associated data, subject to information we must retain for legal or operational reasons.
- Opt out of marketing. Use the unsubscribe link in any marketing email, or contact us. You will still receive service-related messages, which are not promotional.
- Cookies. See our Cookie Notice for the controls available to you.
- Global Privacy Control. We treat a GPC browser signal as a valid request to opt out of any sale or sharing of personal information for the browser that sends it.
- Declining to provide information. Some information is necessary to provide the Service. If you do not provide what we identify as required, we may not be able to serve you.
8.Protected health information
Screenata supports HIPAA compliance programs, and customers may configure the Service in a way that causes protected health information to reach it. Where we handle PHI on behalf of a covered entity or business associate, we do so under a signed Business Associate Agreement. That BAA — not this Privacy Policy — governs our handling of PHI, and where the two conflict, the BAA controls. Contact us to put one in place before sending PHI to the Service.
9.Security
We employ technical, organizational, and physical safeguards designed to protect personal information, including encryption in transit and at rest, scoped access controls, time-bounded access to stored objects, logging, and regular review. You can read more on our security page.
Security risk is nonetheless inherent in all internet and information technologies, and we cannot guarantee the security of your personal information. No provider honestly can.
10.International data transfers
We are headquartered in the United States and use service providers that operate in the United States and elsewhere. Your personal information will be transferred to, and processed in, countries whose privacy laws may differ from those where you live. Users in Europe should read Notice to European users for the safeguards that apply to those transfers.
11.Children
The Service is intended for businesses and is not directed to anyone under 18 years of age. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, contact us and we will delete it as the law requires.
12.Other sites and services
The Service contains links to and integrations with websites and services operated by third parties. Those links are not an endorsement, we do not control those services, and we are not responsible for their practices. Read their privacy policies before using them.
13.State privacy rights notice
This section applies to residents of U.S. states whose privacy laws apply to us (“State Privacy Laws”), including California, Colorado, Connecticut, Virginia, and Texas. Not every right is available in every state, and these rights are not absolute — we may decline a request where the law permits.

We collect these categories for the purposes described in How we use your personal information, and retain them as described in Retention.
Your rights
- Know and access. Request the categories and specific pieces of personal information we have collected about you, the sources, the purposes, and the categories of third parties we disclose it to.
- Correct. Ask us to correct inaccurate personal information.
- Delete. Ask us to delete personal information we collected from you.
- Portability. Receive a copy in a portable, machine-readable format.
- Opt out. We do not sell personal information, do not share it for cross-context behavioral advertising, and do not use it for targeted advertising or for profiling that produces legally significant effects — so there is nothing to opt out of. If that ever changes, we will update this notice and provide a mechanism before doing so.
- Appeal. If we deny your request, you may appeal by replying to our decision. We will respond in writing with our reasoning within the period the applicable law allows, and tell you how to complain to your state attorney general.
- Non-discrimination. We will not discriminate against you for exercising any of these rights.
How to submit a request
Email support@screenata.com with the subject line “Privacy Request.” So that we do not disclose your information to someone else, we will verify your identity by matching the details you provide against our records and, for account holders, by confirming control of the registered email address. An authorized agent may submit a request on your behalf with written proof of authorization. We cannot process a request that lacks enough detail for us to confirm your identity or understand what you are asking for.

This section applies only to individuals in the United Kingdom and the European Economic Area (“Europe”).

Your rights
European data protection law gives you the right to ask us to: give you access to your personal information and information about how we process it; correct inaccuracies; delete it where there is no good reason for us to keep processing it; transfer a machine-readable copy to you or a third party; restrict processing, for example while accuracy is being established; object to processing based on our legitimate interests, and to direct marketing at any time; and withdraw consent where we rely on it, without affecting processing carried out before the withdrawal.
Submit a request by email to support@screenata.com or by post to the address below. We may ask for information to confirm your identity. If we reject a request in whole or in part, we will explain why, subject to legal restrictions.
Complaints
If you are not satisfied with how we have handled your information or your request, you can complain to the data protection regulator where you live or work. In the UK that is the Information Commissioner’s Office, Water Lane, Wycliffe House, Wilmslow, Cheshire SK9 5AF, +44 303 123 1113, ico.org.uk. In the EEA, contact details for each national authority are published by the European Data Protection Board.
Transfers out of Europe
We are a U.S.-based company, and many of our service providers are based in the U.S. too, so using the Service means your personal information will be accessed and processed in the U.S. The U.S. is not the subject of a general adequacy decision, which means European authorities do not treat its legal regime as providing protection equivalent to European law.
Where we transfer personal information out of Europe to a country without an adequacy decision, we rely on appropriate safeguards — principally the European Commission’s Standard Contractual Clauses, together with the UK International Data Transfer Addendum where the UK GDPR applies — or, in limited cases, on a permitted derogation such as your explicit consent. You can ask us for further information on the mechanism used, and for a copy of the relevant safeguards, at support@screenata.com.
15.Changes to this Privacy Policy
We may modify this Privacy Policy at any time. If we make material changes we will notify you by updating the effective date at the top of this page and posting the revised policy on the Service, or by other appropriate means. Changes take effect when posted, unless we say otherwise. Continuing to use the Service after that date means the revised policy applies to you.
